Finance and Administration Associate

Mission
The Queens Botanical Garden, a living museum serving one of the most
ethnically diverse counties in the United States, is committed to
presenting collections, education and research initiatives and programs
that demonstrate environmental stewardship, promote sustainability and
celebrate the rich cultural connections between people and plants.



The Queens Botanical Garden (QBG) is a private non-profit cultural institution located on 39 acres of New York City land. The Garden has a $3.1 million budget with 30 full-time and between 12 and 20 part-time and seasonal staff, and 85 core volunteers. QBG serves nearly 300,000 visitors each year and strives to keep programs accessible to all audiences. Results from a yearlong visitor study reveals that the majority of visitors to the Garden (75%) speak a language other than English at home. The Garden has committed itself to addressing the complex and ever changing needs of its diverse community. QBG has just cut the ribbon on an award-winning “green” project that includes a new Visitor & Administration Building, nearly eight acres of landscapes and a maintenance building and is moving forward with additional visitor, programmatic and capital initiatives and development.

The Garden is seeking a team player skilled at using numbers and technology to help develop organization-wide systems to support continued growth. The Finance Associate will report primarily to the Director of Finance & Administration; he/she will work with the Executive Director on special projects for approximately one-half day per week. As the Finance Associate will work on projects that affect the entire organization a self-starter with excellent interpersonal and communication skills is sought.

Major responsibilities:

· Coordinate institutional cash receipts and accounts receivable data entry for all contributed and earned income including city, state and federal government support, private donations, earned income (including education and program fees; memberships, rentals and catering, vending, parking and QBG Store receipts),
· Assist in ensuring proper tracking and reporting of all grant funds,
· Prepare reports for internal and external purposes,
· Provide general office assistance as needed, including opening the mail, managing office equipment, ordering necessary supplies, and related tasks,
· Assist in the preparation and review of audit schedules, grant budgets, other reports, the organizational budget, and assisting with various projects including reviewing insurance policies and claims,
· Conduct financial, operational and technological analyses to propose and implement methods to streamline data and reporting procedures with the goal of creating an “automated” revenue tracking system, a “registrar” function and increased earned income,
· Assist in other finance and accounting functions including providing coverage for the accounts payable bookkeeper
· Work on special projects with the Executive Director including creating a Garden-wide usage data collection system, helping with the review of the strategic plan, working with other staff on a facilities management plan and budget, creating a “dashboard” (indicators) to assist with oversight,
· Assisting with Garden-wide events and initiatives as appropriate,
· May be asked to supervise volunteers, interns or other staff.


Requirements:
· A bachelor’s degree in finance, accounting, public administration or related field,
· Non-profit experience highly desired,
· Excellent computer skills, especially in accounting, spreadsheet, database and word processing and the ability to transfer data between the general ledger and other applications is necessary: Fund-EZ, Donor Perfect, ADP Payroll, and the Microsoft Office suite are currently some of the programs in use,
· The capacity to both pay attention to detail and to see the larger picture,
· Excellent interpersonal skills and a respect for confidential matters,
· Occasional weekend or evening work required when working on special projects,
· Driver’s license preferred.
